Job Summary:

 

The People Services Advisor is responsible for daily, administrative coordination of general shared service tasks including data entry and maintenance, onboarding, offboarding, employee changes, ticket management, supporting full HR Team for administrative functions amongst other standard Shared Service functions.

 

Essential Job Duties & Responsibilities:

 

  • Responsible for engaging with Talent Acquisition, HRBPs, and Managers to support onboarding of new hires by reviewing offer letters, launching onboarding modules, ensuring timely completion of checklists, supporting new hire orientation, and setting up new hires for success.
  • Serves as subject-matter expert for People Services including general HR questions, advising on policies and pay practices, system expert for both employee and manager usage, general pay and benefit questions, etc.
  • Manages data entry into multi-systems and ensures data is maintained and accurate. Assists in the creation and processing of standard reports and ad hoc reports as requested by team, stakeholders, vendors, etc.
  • Manages incoming People Service tickets to be addressed timely and accurately which requires multi-system processes and communications.
  • Responsible for ensuring data accuracy in all systems to pull and manage standard reports on daily, weekly, monthly, quarterly, and annual basis for legal compliance in various functions such as 401K, benefits, state reporting, federal reporting, etc.
  • Supports leave management with the administrative tasks for leave requests, accommodation requests, workers compensation claims, etc.
  • Supports payroll and benefits in timely and accurate data input to ensure employee changes are input into the systems within the approved timeframe.
  • May support other People Service functions including but not limited to benefit plan builds, internal audits, recordkeeping solutions, various projects, recruitment, training, performance management, policy creation, procedure creation, etc. People Services North America
  • Assists in Global People Services projects as needed.

Required Skills & Abilities:

 

  • Foundational knowledge of general human resources functions including but not limited to policy interpretation, payroll, benefits, etc.
  • Foundational knowledge of US Employee Laws.
  • Ability to manage data and processes accurately and efficiently in multiple technology platforms including but not limited to Centrally HR, ADP, PeopleDoc, Bloom.
  • Strong aptitude for technology usage and future-state development.
  • Proficient knowledge of Microsoft Suite platforms.
  • Proficient knowledge in reporting including data builds and review through standard and customize reporting.
  • Foundational knowledge of benefit programs and how to administer to the general employee population.
  • Foundational knowledge of HR compliance and risk assessments with knowledge of internal and external processes.
  • Strong written and verbal communication to meet various audiences through multiple media platforms.
  • Ability to work independently and as a team including ability to cross-train others.
  • Ability to work remotely and in the office.

 

Education & Experience:

 

  • Required: Minimum of (2) years of experience in HR, business administration or related experience; combination of education and related experience considered.
  • Required: Minimum of (2) years of experience using HR technology platforms and services such as ADP, Paylocity, Workday, etc.; will considered other enterprise technology platforms in lieu of.
  • Preferred: (2) year post-secondary education in administrative, HR, finance, accounting, business, or related field.
  • Preferred: (2) years of experience in payroll and benefits administration.
  • Preferred: (2) years of experience working for a multi-state, multi-location company.
  • Preferred: Experience with implementing new HR technologies including pre-planning, build, implementation, and post-go-live support.

This role is a hybrid/office-based role in a setting that allows for collaboration, productivity, development, and growth. Due to the size of the department and physical workspace, office and desk sharing is required. Proper technology, desk space, and seating will be available to all. The office is well-lit, well-ventilated and of a standard level for volume. The office allows for access to private, accessible restrooms as well as a place to store food and beverages onsite.

 

  • Must be able to sit for extended periods of time up to (8) hours a day.
  • Ability to be able to interrupt information and communicate through various media such as headsets, webcams, phones, emails, etc.
  • Ability to move within an office for administrative functions such as accessing the printer, fax, etc. (with or without accommodations).
